As the first point of contact for our dealership, the Receptionist/Administrative Assistant plays a key role in ensuring a smooth, professional, and positive experience for all visitors and clients. Here's what you'll be doing

You will be the welcoming face of our dealership, playing a key role in establishing an outstanding experience for each guest from the moment they walk through the door.  You will be responsible for managing front-desk operations, supporting administrative functions, and providing exceptional service to customers in person and over the phone. This role is pivotal in maintaining an organized and friendly environment, ensuring smooth operations within our dealership.

Key Responsibilities:

  • Front Desk Management:

    • Greet and welcome customers, ensuring a warm and professional reception.
    • Answer and direct incoming calls in a courteous manner, managing multi-line phone systems.
    • Manage customer inquiries, schedule appointments, and direct clients to appropriate departments (sales, service, finance).
    • Maintain the cleanliness and organization of the reception area, ensuring it reflects the high standards of the dealership.
  • Administrative Support:

    • Provide administrative assistance to various departments, including sales, service, and finance.
    • Assist in maintaining customer databases, updating records, and inputting data accurately.
    • Handle clerical duties such as filing, photocopying, scanning, and ordering office supplies.
    • Assist with preparation of reports, documentation, and communications as needed.
    • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Customer Service Excellence:

    • Be the dealership’s ambassador, providing customers with information about services, promotions, and vehicle inventory.
    • Assist with customer check-in for service appointments, ensuring a smooth hand-off to service advisors.
    • Monitor and follow up on customer inquiries to ensure timely and effective resolution.
    • Respond to email inquiries and follow up with customers regarding appointments and services.
  • Appointment and Scheduling Management:

    • Maintain and manage the dealership’s calendar for meetings, appointments, and test drives.
    • Coordinate customer service appointments, vehicle deliveries, and sales meetings.
  • General Office Tasks:

    • Assist in organizing dealership events, meetings, and other special functions.
    • Handle any additional tasks or projects as requested by management.

You need these qualifications

  • Previous experience as a receptionist, administrative assistant, or in a customer service role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously in a fast-paced environment.
  • Understanding of the importance of providing an exceptional customer experience to both internal and external customers
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM systems.
  • A friendly, professional demeanor with a customer-first attitude.
  • Ability to work independently as well as part of a team.
  • Positive attitude and a willingness to take initiative.
  • High school diploma or equivalent.

It would be nice if you

  • Have previous experience in the automotive industry.
  • Have additional education or certifications.
  • Have a Valid Ontario G Driver’s License with no demerit points
